How do I log in to the RouteMate web dashboard?

Go to your company’s RouteMate URL (e.g., yourcompany.routemate.us) and enter your email address and password. If your company uses single sign-on (SSO), click the SSO button and authenticate through your identity provider. For first-time login, use the credentials provided in your welcome email.

Click the Forgot Password link on the login page and enter your registered email address. You will receive a password reset link within a few minutes. Check your spam folder if you don’t see the email. The reset link expires after 24 hours.

RouteMate supports the latest versions of Google Chrome, Mozilla Firefox, Microsoft Edge, and Safari. For the best experience, we recommend using Google Chrome. Internet Explorer is not supported.

What user roles are available, and how do permissions work?

RouteMate has several roles: Owner, Admin, Fleet Manager, Dispatcher, Safety Manager, and Viewer. Each role has specific permissions controlling access to features like log editing, dispatch, reports, and admin settings. Owners and Admins can manage roles from Admin → Managing Fleet Managers.

Navigate to Admin → Managing Drivers and click Add Driver. Fill in the required fields including name, email, license number, and assigned HOS rule set. The driver will receive an invitation email with instructions to set up their mobile app account.

Go to Compliance → Driver Logs, select the driver and date, then click on the log entry you want to modify. You can insert, edit, or reassign duty status events. All edits require a reason annotation and are tracked in the audit trail. The driver will receive a notification to accept or reject the proposed edit.

Yes, you can edit logs for up to 14 days in the past, as required by FMCSA regulations. Edits to older logs may be restricted depending on your company’s policy settings. All changes are recorded with timestamps and the editor’s identity.

Navigate to Reports → ELD Reports and select the report type (e.g., Driver Summary, Violations, Unassigned Driving). Choose your date range, select drivers or groups, and click Generate. Reports can be downloaded as PDF or CSV. Scheduled reports can be configured to run automatically and be emailed to recipients.

Most data tables in RouteMate include an Export button. Click it to download the displayed data in CSV or Excel format. For comprehensive data exports, use the Reports section where you can generate detailed reports covering compliance, GPS, fuel, and speeding data.

Go to Admin → Alert Configuration to set up alerts for events such as HOS violations, speeding, geofence entry/exit, ELD disconnects, and DVIR defects. You can configure alert delivery via email, SMS, or in-app notifications and choose which users or groups receive each alert type.

The Dispatch → Dispatch Board provides a visual overview of all active loads, driver availability, and vehicle assignments. You can create new loads, assign drivers and vehicles, track pickup/delivery progress, and view estimated arrival times. Drag-and-drop functionality makes it easy to reassign loads.

How do I track a vehicle’s location in real time?

Open the Dashboard & Map section to see all vehicles on the map in real time. Click on a vehicle marker or card to view detailed information including current speed, heading, location, ELD status, and driver details. Use the Location Data → Vehicle Tracking section for historical breadcrumb trails.

Live Share lets you share a real-time vehicle tracking link with external parties (e.g., brokers, shippers) without requiring them to log in. Go to Dashboard → Live Share, select the vehicle(s), set the expiration time, and copy the generated link. Recipients can view the vehicle’s live location on a map.

Navigate to Geofence → Managing Geofences to create, edit, or delete geofences. Draw a circular or polygon boundary on the map, name the geofence, and configure entry/exit alerts. Geofences can be used to monitor yard arrivals, customer site visits, and restricted zone entry.

How do I handle unidentified driving events?

Go to Compliance → Driver Logs and look for unidentified driving events flagged in the system. You can assign these events to the correct driver by selecting the event and choosing the driver from the dropdown. The driver will be notified and must accept or reject the assignment.

Navigate to Maintenance → DVIR Reports to view all submitted vehicle inspection reports. You can filter by vehicle, date, or defect status. Defects marked by drivers require mechanic sign-off before the vehicle can be returned to service. Use Maintenance → DVIR Forms to customize inspection checklists.

How do I manage API keys for integrations?

Go to Admin → API Keys to create, view, or revoke API keys used for third-party integrations. Each key can be scoped to specific permissions. API documentation is available at the /open-api.html endpoint of your RouteMate instance.

Slow loading is usually caused by selecting a large date range or too many vehicles at once. Try narrowing your filters, using groups to limit vehicle selection, and ensuring you’re on a stable internet connection. Clearing your browser cache may also help. If the issue persists, contact support.

Navigate to Admin → Activity Log to see a chronological record of all actions performed on the platform, including log edits, driver additions, setting changes, and login events. You can filter by user, action type, and date range for auditing purposes.
