Fuel Reports
Analyze fuel purchases and efficiency across your fleet to manage costs and simplify IFTA reporting.
Overview
Section titled “Overview”RouteMate’s fuel reports help you understand where your fuel dollars are going. Whether you need a state-by-state breakdown for IFTA compliance or want to compare fuel efficiency across your drivers, these reports give you the data you need to make informed decisions and control fuel expenses.
Available Fuel Reports
Section titled “Available Fuel Reports”Fuel State Analysis
Section titled “Fuel State Analysis”The Fuel State Analysis report breaks down fuel purchases by state, showing how much fuel was purchased in each jurisdiction. This report is especially useful for IFTA (International Fuel Tax Agreement) reporting, as it provides the state-level fuel data you need to file your quarterly returns.
The report includes:
- State — The jurisdiction where fuel was purchased.
- Total gallons purchased (volume) — The amount of fuel bought in each state.
- Total fuel cost — The dollar amount spent on fuel in each state.
- Number of fuel transactions — How many individual fuel purchases occurred in each state.
Tip: Run this report at the end of each quarter to quickly gather the fuel purchase data you need for your IFTA filing. Cross-reference it with your mileage-by-state data for a complete IFTA picture.
Fuel Vehicle Analysis
Section titled “Fuel Vehicle Analysis”The Fuel Vehicle Analisys report breaks down fuel purchases by vehicle, showing how much fuel was purchased by each vehicle.
The report includes:
- Vehicle ID — The vehicle that purchased the fuel.
- Total gallons purchased (volume) — The amount of fuel bought by each vehicle.
- Total fuel cost — The dollar amount spent on fuel by each vehicle.
- Cost per gallon — The average dollar amount spent per gallon by each vehicle.
Fuel Driver Analysis
Section titled “Fuel Driver Analysis”The Fuel Driver Analysis report shows fuel efficiency metrics broken down by driver. This helps you identify which drivers are using fuel most efficiently and which may benefit from coaching on fuel-saving driving habits.
The report includes:
- Driver name — The driver associated with the fuel data.
- Total miles driven — Distance covered during the reporting period.
- Total fuel consumed — Gallons of fuel used.
- Fuel efficiency (MPG) — Miles per gallon for each driver.
- Fuel cost — Total fuel expenditure attributed to each driver.
Tip: Drivers with significantly lower MPG than their peers may benefit from coaching on habits like reducing idling, maintaining steady speeds, and avoiding aggressive acceleration.
Note: Fuel efficiency calculations depend on accurate fuel purchase data. Encourage your drivers to upload fuel receipts consistently through the mobile app.
How to Generate and Export Fuel Reports
Section titled “How to Generate and Export Fuel Reports”To generate a fuel report:
- Navigate to Reports from the main menu.
- Select the Fuel Reports section.
- Choose either Fuel State Analysis or Fuel Driver Analysis.
- Set your filters:
- Date range — Select the start and end dates for the report.
- Drivers or Vehicles — Choose specific drivers or vehicles, or select all.
- Groups — Optionally filter by group to focus on a specific terminal or team.
To download a report:
- Click the Export button.
- Choose your preferred format (CSV or PDF).
- The file will download to your computer.
Tip: Export the Fuel State Analysis as a CSV if you need to import the data into your accounting or IFTA filing software.
