User Roles and Permissions

RouteMate uses a role-based system to make sure each person on your team has access to the features they need — and only the features they need. This page explains the available roles, what each one can do, and how feature-level permissions work.


When your company admin creates your account, they assign you one of the following roles:

The Fleet Manager role is the standard dashboard role for day-to-day fleet oversight.

What you can do:

  • View the live map and vehicle cards
  • Monitor driver duty statuses and HOS clocks
  • Review driver logs and compliance data
  • Run reports (ELD, GPS, fuel, speeding, and more)
  • View safety alerts and notifications
  • Access the dispatch board (if Dispatch is enabled)

What you cannot do:

  • Add or remove drivers, vehicles, or devices
  • Change company settings
  • Manage other fleet manager accounts

This role is ideal for operations staff, compliance reviewers, and team leads who need visibility into fleet activity without making administrative changes.


The Fleet Admin role includes everything a Fleet Manager can do, plus full administrative capabilities.

What you can do (in addition to Fleet Manager access):

  • Add, edit, and deactivate driver accounts
  • Add and configure vehicles and trailers
  • Assign and manage ELD devices
  • Create and manage groups
  • Manage fleet manager and dispatch manager accounts
  • Configure company settings (HOS profiles, terminals, integrations, etc.)
  • Activate or deactivate optional features

This role is intended for company administrators, operations managers, or anyone responsible for setting up and maintaining the RouteMate account.


The Dispatch Manager role is focused on load management and driver coordination.

What you can do:

  • Access the dispatch board
  • Create, edit, and assign loads
  • View available trucks and driver hours
  • Monitor load progress and delivery status
  • View the live map and vehicle locations
  • Rate drivers on completed loads

This role is designed for dispatchers and logistics coordinators who primarily work with load assignments.


The Safety Manager role focuses on compliance and safety monitoring.

What you can do:

  • Review driver safety scorecards
  • Monitor speeding events and trends
  • View compliance reports and violation summaries
  • Access the Safety Hub for alerts and event review
  • Run safety-related reports

This role is ideal for safety directors and compliance officers who need to focus on fleet safety performance.


You do not choose your own role — it is assigned by a Fleet Admin at your company. Here is how the process works:

  1. A Fleet Admin logs in to the RouteMate web dashboard.
  2. They navigate to Admin > Fleet Managers (or the relevant user management section).
  3. They create a new account or edit an existing one.
  4. They select the appropriate role for that account.
  5. The user receives login credentials and can access the dashboard with the permissions tied to their role.

If you believe you need a different role or additional access, contact your company’s Fleet Admin.

Note: A single person can only have one role at a time. If you need both admin and dispatch capabilities, your admin may need to assign the Fleet Admin role, which includes broader access.


Beyond roles, some features in RouteMate require company-level activation before anyone at your company can use them. These features are turned on or off by a Fleet Admin or by RouteMate support, depending on your subscription.

Features that may require activation include:

If you navigate to a section and see a message that the feature is not available, it likely needs to be activated at the company level. Contact your Fleet Admin to enable it.

Tip: Fleet Admins can activate most features from the Admin > Company Settings section of the dashboard, or by contacting RouteMate support.
