Managing Geofences

Create virtual geographic boundaries on the map to monitor when vehicles enter or leave important locations.

Note: Geofence features require the Geofence feature to be activated for your company. Contact your account administrator or RouteMate support to enable it.

What Are Geofences?

A geofence is a virtual boundary drawn around a real-world location on the map. When a vehicle crosses a geofence boundary — entering or leaving the area — RouteMate can record the event and optionally send you an alert. Geofences are useful for tracking arrivals and departures at customer sites, monitoring restricted areas, and managing yard activity.

Geofence Types

When you create a geofence, you assign it a type that describes the kind of location it represents. This makes it easier to organize and filter your geofences later.

TypeDescription
Basic GeofenceA general-purpose location such as a customer site or warehouse.
Fuel StationA fueling location, useful for tracking fuel stops and comparing against fuel purchases.
Restricted LocationAn area where your vehicles should not enter. Useful for enforcing route compliance.
Risk ZoneA location known for safety concerns such as high accident rates or theft risk.
Weigh StationA weigh station location, helping you track compliance with weight inspection requirements.
YardYour company’s yard or terminal. Useful for tracking when drivers arrive at or depart from home base.
UncategorizedA geofence that hasn’t been assigned a type yet. Useful as a default for geofences you haven’t classified.

Creating a New Geofence

To create a geofence:

  1. Navigate to Geofence from the main menu.
  2. Click the Add Geofence button.
  3. Give your geofence a descriptive name (for example, “Chicago Distribution Center” or “I-90 Weigh Station”).
  4. Select the geofence type from the dropdown.
  5. Choose a shape for your geofence:
    • Polygon — Click multiple points on the map to draw a custom boundary that matches the shape of the location. Close the polygon by clicking the first point again.
    • Circle — Click a center point on the map and drag outward to set the radius. You can also type in a specific radius value.
  6. Optionally, assign the geofence to a group so it applies only to certain vehicles or drivers.
  7. Click Save to create the geofence.

Tip: For irregularly shaped locations like large industrial parks, use the polygon tool to trace the actual boundaries. For simple locations like a single building, a circle is usually sufficient.

Tip: You can search for an address in the map search bar to quickly navigate to the area where you want to draw your geofence.

Editing and Deleting Geofences

  1. Navigate to Geofence from the main menu.
  2. Find the geofence you want to edit in the list, or click it on the map.
  3. Click the Three white dots button.
  4. Click the Edit button (pencil icon).
  5. Make your changes — you can update the name, type, or adjust the boundary points on the map.
  6. Click Save to apply your changes.

Deleting a Geofence

  1. Navigate to Geofence from the main menu.
  2. Find the geofence you want to delete.
  3. Click the Three white dots button.
  4. Click the Delete button (trash icon).
  5. Confirm the deletion when prompted.

Note: Deleting a geofence is permanent. Historical entry and exit events associated with the geofence will still be available in your reports, but no new events will be recorded for the deleted geofence.

Setting Up Geofence Alerts

You can configure RouteMate to send you a notification whenever a vehicle crosses a geofence boundary.

  1. Navigate to Admin > Alerts > Add Alert > Alert Type.
  2. Under the Geofence alert category, select the alert type:
    • Entry — Triggered when a vehicle enters the geofence.
    • Exit — Triggered when a vehicle leaves the geofence.
    • Entry and Exit — Triggered on both entry and exit.
  3. Choose which geofences the alert applies to, or apply it to all geofences.
  4. Choose which vehicles or assets the alert applies to, or apply it to all vehicles or assets.
  5. Select your notification method (in-app notification, email, or both).
  6. Save your alert configuration.

Tip: Set up Entry alerts on Restricted Location geofences so you are immediately notified if a driver enters an area they should avoid.

Viewing Geofence History

To see a log of all geofence entry and exit events:

  1. Navigate to Geofence from the main menu.
  2. Select the History tab.
  3. Use the date range picker to choose the time period you want to review.
  4. Optionally, filter by geofence, driver, vehicle, or group.

Each history entry shows:

  • Vehicle and Driver — Which vehicle crossed the boundary and who was driving.
  • Geofence Name — The name of the geofence that was crossed.
  • Event Type — Whether the vehicle entered or exited the geofence.
  • Timestamp — The date and time of the event.
  • Duration Inside — For exit events, how long the vehicle was inside the geofence.

Tip: Use geofence history to verify delivery times at customer sites or to confirm that drivers are following planned routes.
