Pickup Process
When you arrive at a pickup location, RouteMate guides you through a step-by-step process to check in, record pickup details, upload photos, and confirm the pickup. This keeps your dispatcher informed and creates a complete record of the stop.
Before You Begin
Section titled “Before You Begin”Make sure you are viewing the correct load and stop. Stops must be completed in order — you cannot skip ahead to a later stop without finishing the previous ones first.
Step 1: Check In at the Pickup Location
Section titled “Step 1: Check In at the Pickup Location”- Open the load from the Dispatch tab.
- Tap the pickup stop.
- Tap Check In to record your arrival at the facility.
This timestamps your arrival so your dispatcher and carrier know when you reached the location.
Tip: Check in as soon as you arrive at the facility, even if you have to wait for a dock. This helps document any detention time.
Step 2: Fill In Pickup Details
Section titled “Step 2: Fill In Pickup Details”After checking in, you will see a form where you can enter the details of your pickup. Fill in the following fields as applicable:
- BOL (Bill of Lading) Number — The document number for the shipment.
- Seal Number — The seal applied to the trailer after loading.
- Chassis Number — If applicable (typically for intermodal loads).
- Weight — The weight of the freight.
- Pallets — The number of pallets loaded.
- Pieces — The total piece count.
- Empty Dropped / Loaded Picked Up — Track whether you dropped an empty trailer and/or picked up a loaded one.
- Percent Loaded — How full the trailer is after loading.
You will also see a series of checkboxes to confirm important items:
- Trailers — Trailer condition verified.
- Tires — Tires inspected and in good condition.
- Secured Freight — Freight is properly secured.
- Signed BOL — Bill of Lading has been signed.
- Lumper Receipts — Lumper service receipts collected (if applicable).
- Escort — Escort arranged (if required).
- Damage — Check this if any damage was observed.
Note: Not every field will apply to every load. Fill in what is relevant to your shipment. However, the more complete your information, the better your records will be.
Step 3: Upload Photos
Section titled “Step 3: Upload Photos”You can attach up to 8 photos per stop to document the condition of the freight, signed paperwork, or anything else relevant.
- Tap the Add Photo button.
- Choose to take a new photo with your camera or select an existing image from your gallery.
- Repeat until you have captured everything you need (up to 8 images).
Tip: At a minimum, consider photographing the signed BOL, the seal number on the trailer, and the general condition of the freight. These photos can be invaluable if a dispute arises later.
Step 4: Mark as Picked Up
Section titled “Step 4: Mark as Picked Up”Once you have entered all the details and uploaded your photos:
- Tap the Picked Up button.
- A confirmation dialog will appear. If any recommended fields are not filled in, the dialog will let you know.
- Confirm to complete the pickup.
Note: Marking a stop as Picked Up cannot be undone. Make sure all your information is entered correctly before confirming. Double-check your BOL number, seal number, and photos.
After confirming, the stop status will update to Picked Up and you can proceed to your next stop.
