Transferring Data to a DOT Inspector

During a roadside inspection, a DOT officer may ask you to electronically transfer your ELD records. RouteMate makes this simple with a built-in Transfer Data feature that sends your log files directly to the officer’s system.

What Does Data Transfer Do?

When you transfer data, the app packages your ELD records (including your daily logs, duty status changes, vehicle information, and driver details) into a standardized file and sends it electronically to the DOT inspector. This is the same data the officer can see on your screen, but in a digital format they can store and process on their end.

How to Transfer Your Data

1. Enter DOT Inspection mode from the Menu (you will need to enter your password).
2. Tap the Transfer Data button.
3. Select a transfer method. The available options will appear on screen. Web Service is the standard method used by most DOT officers.
4. If the officer provides you with a transfer code, enter it in the field provided. Not all transfers require a code — follow the officer’s instructions.
5. Tap Send to transmit the file.
6. Wait for the confirmation message indicating the file was sent successfully.

Note: You need an active internet connection to transfer data via Web Service. Make sure your phone has cellular data or Wi-Fi available.

If the Transfer Fails

Sometimes a transfer may not go through on the first try. Here is what to do:

1. Check that you have a stable internet connection (look for signal bars or Wi-Fi icon on your device).
2. Tap the Retry option to attempt the transfer again.
3. If it continues to fail, let the officer know. They may accept the on-screen review of your logs as an alternative, or they may ask you to try a different transfer method.

Tip: If you are in an area with poor cell coverage, try connecting to a nearby Wi-Fi network. Some truck stops and rest areas offer free Wi-Fi that may be strong enough to complete the transfer.
