Upcoming Loads

The Upcoming Loads view shows all scheduled and pending loads that have not yet started. This is where you plan ahead — reviewing what shipments are coming up, checking their details, and assigning them to drivers and vehicles before the pickup window arrives.

To access upcoming loads:

  1. Navigate to Dispatch > Upcoming Loads from the main menu.
  2. The list displays all loads with a future pickup date or loads that have been created but not yet dispatched.

Each entry shows:

  • Load number — The unique identifier for the shipment.
  • Status — Typically Available (unassigned) or Dispatched (assigned but not yet started).
  • Customer — The customer or broker associated with the load.
  • Origin — The pickup location (city, state, and facility name if available).
  • Destination — The delivery location.
  • Pickup window — The scheduled date and time range for pickup.
  • Delivery window — The expected date and time range for delivery.
  • Assigned driver and vehicle — If the load has already been assigned, the driver and truck are shown here.

Click on any load to open its full detail view. The detail panel includes:

  • All stops — If the load involves multiple pickups or deliveries, each stop is listed with its address, scheduled time, and any special instructions.
  • Commodity information — Description of the freight, weight, and any special handling requirements.
  • Rate and payment details — If rate information has been entered, it appears here.
  • Documents — Any attached files such as rate confirmations, bills of lading, or special instructions.
  • Notes — Internal notes from dispatchers or brokers.

Tip: Review load details the day before the scheduled pickup to make sure everything is in order — especially special handling instructions, appointment times, and required documents. This gives you time to address any issues before the driver arrives at the shipper.

The upcoming loads list can be organized to match your workflow:

  • Sort by pickup date — See loads in chronological order, with the soonest pickups at the top.
  • Sort by delivery date — Prioritize loads with the tightest delivery deadlines.
  • Filter by status — Show only unassigned loads (Available) to focus on what still needs a driver.
  • Filter by customer — Narrow the list to loads for a specific customer or broker.
  • Filter by origin or destination — Find loads in a particular region.
  • Search by load number — Jump directly to a specific load.

Tip: At the start of each planning session, filter by Available status to see all loads that still need driver assignments. This ensures nothing slips through the cracks.

You can assign drivers and vehicles directly from the upcoming loads view:

  1. Click on the load you want to assign.
  2. In the detail panel, select a driver from the dropdown list.
  3. Select a vehicle and optionally a trailer.
  4. Review the assignment to confirm the driver has enough HOS hours to complete the trip.
  5. Confirm the assignment.

Once assigned, the load status changes to Dispatched and the driver receives a notification on their mobile app with all the load details.

If you need to reassign a load before it starts, you can change the driver or vehicle from the same detail panel.

Note: Assigning a load does not automatically change the driver’s duty status. The driver will begin the load and update their status from the mobile app when they are ready.
