Managing Fleet Managers
Add, edit, and manage fleet manager accounts to control who has access to your RouteMate web dashboard.
Note: Managing fleet manager accounts requires the Fleet Admin role. If you do not see the options described below, contact your account administrator to verify your permissions.
Viewing Fleet Manager Accounts
Section titled “Viewing Fleet Manager Accounts”To see all fleet managers in your organization:
- Navigate to Admin > Fleet Managers from the main menu.
- The list shows each manager’s name, email, role, groups access, status (active or deactivated).
- Use the search bar to find a specific manager by name.
Adding a New Fleet Manager
Section titled “Adding a New Fleet Manager”To add a new fleet manager:
- Navigate to Admin > Fleet Managers.
- Click the Add Fleet Manager button.
- Fill in the required information:
- First Name and Last Name — The manager’s full name.
- Email Address — Used for login and notifications. Must be unique.
- Phone Number — Contact number for the manager.
- Assign a role that determines their level of access (see the next section for details).
- Optionally, assign the manager to specific groups to limit which drivers and vehicles they can see.
- Click Save to create the account.
The new fleet manager will receive an email with instructions to set their password and log in.
Tip: Only grant the level of access each manager needs. If a manager only oversees a specific terminal, assign them to that terminal’s group and give them the appropriate role.
Setting Permissions and Roles
Section titled “Setting Permissions and Roles”Fleet manager permissions are controlled through roles. Each role provides a different level of access to RouteMate features:
- Admin — Full access to all features, including the ability to manage other fleet managers, configure company settings, and access all data across the organization.
- Admin (read only) — Access to operational features like the dashboard, reports, compliance, dispatch, and driver management within their assigned groups.
- User — Read-only access to dashboards, reports, and driver data. Cannot make changes or edits.
To change a manager’s role:
- Open the fleet manager’s profile.
- Click Edit.
- Select the new role from the dropdown.
- Click Save.
Note: Be careful when assigning the Admin role. Admins can modify company settings, manage billing, and access all data. Limit this role to trusted personnel.
Editing Manager Details
Section titled “Editing Manager Details”To update a fleet manager’s information:
- Navigate to Admin > Fleet Managers.
- Find the manager and click their name to open their profile.
- Click the Edit button.
- Update the fields you need to change (name, email, phone, role, group assignments).
- Click Save to apply the changes.
Deactivating a Manager
Section titled “Deactivating a Manager”If a fleet manager leaves your organization or no longer needs access:
- Navigate to Admin > Fleet Managers.
- Find the manager and open their profile.
- Click the Deactivate button.
- Confirm the deactivation when prompted.
Deactivated managers:
- Can no longer log in to the RouteMate web dashboard.
- Are removed from active manager lists.
- Retain their activity history for auditing purposes.
Tip: If a manager is temporarily away (for example, on leave), you can deactivate their account and reactivate it when they return, rather than deleting it.
