Managing Drivers
Add, edit, and manage driver profiles in your fleet, including license details, HOS profiles, and group assignments.
Note: Managing drivers requires the Fleet Admin role. If you do not see the options described below, contact your account administrator to verify your permissions.
Viewing the Driver List
Section titled “Viewing the Driver List”To see all drivers in your fleet:
- Navigate to Admin > Drivers from the main menu.
- The driver list shows each driver’s name, vehicle ID, email, phone number, assigned groups, settings, cycle, doucments, mobile app version, driver creation date, and status (active or deactivated)
- Use the search bar to find a specific driver by name, vehicle ID, or email.
- Use the filters to narrow the list by driver status, group, or special duty status.
Tip: Click on any driver’s name to open their full profile with all details, certifications, and assignment history.
Adding a New Driver
Section titled “Adding a New Driver”To add a driver to your fleet:
- Navigate to Admin > Drivers.
- Click the Add Driver button.
- Fill in the required information:
- First Name and Last Name — The driver’s legal name.
- Email Address — Used for account login and notifications. Must be unique.
- Phone Number — The driver’s contact number.
- Driver’s License Number — Their commercial driver’s license number.
- License State — The state that issued the license.
- Select a Driver Type (see below).
- Fill in the Eld Options
- Exempt from ELD
- Allow Yard Move
- Allow Personal Conveyance
- Allow Manual Drive Time
- Forbid Certify action if Trailer or Shipping Docs aren’t inserted
- Paired Split Sleeper Clocks Displayed
- Enhance Violation Sound Alert
- Require Driver Signature
- Choose a Cycle rule that matches the driver’s operating rules (for example, property-carrying 60-hour/7-day or 70-hour/8-day cycles).
- Optionally, enter the EFS driver name if your company is integrated with EFS and add any necessary records or files in the Documents.
- Click Confirm to create the driver profile.
Note: Make sure the email address is correct before saving. The driver will use this email to log in to the RouteMate mobile app.
Driver Types
Section titled “Driver Types”When adding or editing a driver, you assign a driver type that reflects their employment relationship with your company:
| Driver Type | Description |
|---|---|
| Company Driver | A driver employed directly by your company. |
| Owner Operator | An independent driver who owns their own truck and operates under your authority. |
| Driving for Owner | A driver who operates a truck owned by an owner operator within your fleet. |
| Lease to Ownership | A driver who is leasing a vehicle with the intent to purchase it. |
Editing Driver Details
Section titled “Editing Driver Details”To update a driver’s information:
- Navigate to Admin > Drivers.
- Find the driver and click the 3 white dots at the end of the row to open their profile.
- Click the Edit button.
- Update the fields you need to change (name, contact information, license details, HOS profile, and so on).
- Click Confirm to apply the changes.
Tip: Review driver profiles periodically to make sure license information is current and HOS profiles match each driver’s actual operating rules.
Driver Certifications and Qualifications
Section titled “Driver Certifications and Qualifications”You can track important certifications and qualifications for each driver in their profile:
- Open the driver’s profile by clicking the 3 white dots at the end of the row.
- Navigate to the Documents section.
- Add certifications such as:
- Hazmat endorsement
- TWIC card
- Medical certificate
- Tanker endorsement
- Other required qualifications
Deactivating a Driver
Section titled “Deactivating a Driver”If a driver leaves your company or no longer needs access to RouteMate:
- Navigate to Admin > Drivers.
- Find the driver and open their profile by clicking the 3 white dots at the end of the row.
- Click the Deactivate button.
- Confirm the deactivation when prompted.
Deactivated drivers:
- Can no longer log in to the RouteMate mobile app.
- Are removed from active driver lists and dispatch options.
- Retain their historical data (logs, trips, documents) for compliance and auditing purposes.
Note: Deactivating a driver does not delete their data. You can reactivate a driver later if they return to your fleet.
