Available Trucks

The Available Trucks view helps you see which vehicles in your fleet are ready for dispatch at any given time. When you need to assign a load, this page gives you a clear picture of what is available, what is out of service, and what each vehicle’s current status is.

To access the available trucks list:

  1. Navigate to Dispatch > Available Trucks from the main menu.
  2. The list displays all vehicles in your fleet along with their current availability status.

Each vehicle entry shows:

  • Unit number — The company-assigned identifier for the truck.
  • Availability status — The vehicle’s current readiness for dispatch (see statuses below).
  • Current location — The vehicle’s last known location, updated from GPS data.
  • Assigned driver — The driver currently associated with the vehicle, if any.
  • Vehicle type — The class or configuration of the truck (e.g., day cab, sleeper, reefer).

Tip: Open this page alongside the Dispatch Board when assigning loads. You can quickly cross-reference which trucks are available and where they are located relative to the next pickup point.

Each vehicle has an availability status that tells you at a glance whether it can be assigned to a load:

StatusDescription
AvailableThe vehicle is ready for dispatch and can be assigned to a new load.
BreakThe driver is on a required rest break. The vehicle will be available again once the break ends.
ShopThe vehicle is in the maintenance shop for repairs or scheduled service. It cannot be dispatched until maintenance is complete.
Home TimeThe driver assigned to this vehicle is on scheduled home time. The vehicle may be at a terminal or the driver’s home location.
VacationThe driver is on vacation. The vehicle is idle and not available for dispatch during this period.
Not AvailableThe vehicle is unavailable for another reason — this is a general status used for situations not covered by the other categories.

Statuses are updated by drivers through the mobile app or by dispatchers and fleet managers through the web dashboard.

Note: A vehicle with a status of Shop should not be assigned to a load until maintenance confirms it is back in service. Dispatching a vehicle that is under repair can lead to delays and safety issues.

When you have a load that needs a vehicle, use the available trucks list to find the best match:

  1. Filter by status — Start by filtering to show only Available vehicles to narrow down your options.
  2. Check location — Look at the current location of each available truck. Choose one that is closest to the load’s pickup point to minimize deadhead miles and transit time.
  3. Consider vehicle type — Make sure the truck matches the load requirements. For example, a temperature-controlled shipment needs a reefer unit, and an oversized load may require a specific trailer configuration.
  4. Review driver hours — Click on the vehicle to see the assigned driver’s remaining HOS hours. Ensure the driver has enough available time to complete the trip.
  5. Assign the load — Once you have found the right truck, you can assign the load directly from the Dispatch Board or the Upcoming Loads view.

Tip: Sort the available trucks by proximity to the pickup location if your fleet covers a large geographic area. Choosing the nearest available truck reduces fuel costs and improves your on-time pickup rate.
