Activity Log
Track and review user actions across the RouteMate platform for accountability and auditing purposes.
Note: The Activity Log requires the Activity Log feature to be activated for your company. Navigate to Admin > Company Settings to enable it, or contact your account administrator.
What the Activity Log Tracks
Section titled “What the Activity Log Tracks”The activity log records actions performed by users throughout the RouteMate platform. Every time a fleet manager or administrator makes a change, the system creates a log entry. This provides a transparent audit trail that helps you understand who did what and when.
Tracked actions include:
- Driver management — Adding, editing, or deactivating driver profiles.
- Vehicle management — Adding, editing, or deactivating vehicles.
- Log edits — Changes made to driver HOS logs, including who made the edit and what was changed.
- Alert configuration — Changes to alert rules and thresholds.
- Device management — Assigning, unassigning, or configuring devices.
- Dispatch actions — Creating, editing, or completing dispatch assignments.
- Company settings — Changes to company profile, features, or preferences.
- User account actions — Adding or deactivating fleet managers, role changes, and password resets.
Tip: The activity log is particularly valuable during DOT audits when you need to demonstrate who made changes to driver logs and why.
Viewing Activity History
Section titled “Viewing Activity History”To access the activity log:
- Navigate to Admin > Activity Log from the main menu.
- The activity log displays a chronological list of actions, with the most recent entries at the top.
- Each entry shows:
- Timestamp — When the action occurred.
- User — Who performed the action.
- Action Type — What kind of action was taken (for example, “Driver Edited”, “Log Modified”, “Alert Created”).
- Details — A summary of what was changed, including before and after values where applicable.
- Affected Entity — The driver, vehicle, or record that was changed.
Filtering by User, Action Type, and Date Range
Section titled “Filtering by User, Action Type, and Date Range”To find specific activity entries:
- Use the Date Range picker to select the time period you want to review.
- Use the User filter to see actions performed by a specific fleet manager or administrator.
- Use the Action Type filter to narrow results to a specific kind of action (for example, only log edits or only driver changes).
- Combine filters to drill down to exactly what you are looking for.
Tip: If you are investigating a specific incident, start by filtering to the relevant date range, then narrow by the affected driver or vehicle to quickly find the related entries.
Using Activity Logs for Auditing
Section titled “Using Activity Logs for Auditing”The activity log is a key tool for compliance and internal auditing:
- DOT and FMCSA audits — Demonstrate that log edits were made with proper authorization and documentation. The activity log provides the evidence trail auditors look for.
- Internal reviews — Verify that fleet managers are following company policies when making changes to driver records, dispatch assignments, or alert configurations.
- Dispute resolution — If there is a question about when or why a change was made, the activity log provides an objective record.
- Security monitoring — Spot unusual activity that might indicate unauthorized access, such as unexpected changes made outside of business hours.
Note: Activity log data is retained according to your company’s data retention policy. Contact RouteMate support if you need information about how long activity records are kept.
